NoteSathi is an app that records or imports your classes, meetings and calls and turns them into transcripts and notes. It is made by Turtle Techsai, 74/15 Nehru Nagar (East), Bhilai, Chhattisgarh 490020, India ("we", "us"). This policy explains what data we collect, why, who processes it for us, how long we keep it and the choices you have. It applies to the NoteSathi app, this website and the services behind them. Under India's Digital Personal Data Protection Act, 2023 we are the Data Fiduciary for your personal data.
In short: we use your recordings only to make your transcripts and notes. They are stored in India, never sold, never used for ads, and never used to train AI models. Raw audio is deleted from our servers 90 days after your notes are ready unless you choose to keep it. You can delete any recording, or your whole account, at any time.
1. Data we collect
| Data | What it is | Why we need it |
|---|---|---|
| Account identifiers | You can use NoteSathi without signing up. The app then creates a guest account linked to an identifier that Android gives each app on your phone (not your phone number, IMEI or advertising ID). We also keep your confirmation that you are 18 or older, the version of this policy you accepted, your platform and app version. If you sign in with Google: your Google account ID, email address and name (see section 5). | To create and secure your account, keep your recordings and notes together, and let you use them on another device after you sign in. |
| Recordings | The audio you record in the app, including the voices of anyone you record, saved on your phone in 30-second parts and uploaded to us. With it: its length, when it was made, pauses (for example "paused for a call"), the moments you mark with ★, the title or topic you type, the class language you chose and the kind of recording (class, meeting, call debrief, interview). | To transcribe the recording and make your notes. |
| Files you import | Audio and video files (for most videos the app uploads only the sound), call recordings you choose to import, PDFs and photos, with their file name and size. | To turn them into transcripts and notes, and to recognise a file you have already imported so it is not processed or charged twice. |
| Recording consent | When you record a meeting, interview or call, your confirmation that everyone knows they are being recorded, with the time. | To remind you of your responsibility and keep a record that you confirmed it. |
| Content we create for you | Transcripts (with timestamps, speaker labels and the language of each line), notes and every version you edit, titles, and the study material made from your notes (quizzes, flashcards, mind maps, audio recaps and answers to questions you ask about your notes). | This is the service you asked for. |
| Settings | Your class languages, notes language, the exam you are preparing for, and app preferences such as resuming a recording after a call. | To make notes in your language and in the shape your exam needs. |
| Plan and usage | Your plan, its renewal or end date, processing hours used and left, top-ups and referral hours. We never receive your card, bank or UPI PIN details (see section 6). | To give you the hours and features you paid for. |
| App activity | Events such as "app opened", "recording started", "note viewed", with counts, durations and settings (for example how long a recording was, or how many seconds notes took). Linked to your account ID. Never the content of recordings, transcripts, notes or questions, never file names, and never an advertising ID. | To find where the app fails or confuses people, and improve it. |
| Crash reports and logs | When the app or our servers hit an error: device model, Android version, app version and technical details of the error. Our servers also log IP addresses and request times. | To fix problems, keep the service secure and prevent abuse. |
| Support messages | What you write to us and our replies. | To help you. |
The app asks for the microphone only to record, and shows a notification for as long as it is recording. It asks to show notifications so you can see and control a recording. It notices when a phone call starts so it can pause the recording; it does not read your call log, phone numbers or the call itself. It reads only the files you pick to import. It does not collect your contacts, location, messages or photos you don't choose.
2. How we use your data
- To provide NoteSathi: save and upload recordings, transcribe them, make notes and study material, and show them to you on your devices.
- To run your account and plan: sign-in, processing hours, purchases, refunds and support.
- To keep it working and safe: fix failures, detect abuse (for example many accounts from one device to collect free hours), and secure our systems.
- To improve it: using app activity (section 1) and automatic quality checks. For a small share of recordings, a second speech engine transcribes the same audio so we can measure accuracy. This is automatic: no person listens.
- To meet legal obligations, such as tax records and lawful requests from authorities.
We do not sell or rent your data, show you ads, build advertising profiles, or use your recordings, transcripts or notes to train AI models. If we ever want to use corrections you make to transcripts to improve recognition of Indian languages, we will ask you first, separately, and you can say no without losing anything.
Who at Turtle Techsai can see your content. No one listens to your recordings or reads your notes as a matter of course. A small number of authorised staff may access a specific recording or note only when you ask us to (for example in a support request), when the law requires it, or to investigate serious abuse reported to us. Every such access is recorded.
Legal basis. We process your data with your consent, which you give when you start using the app and can withdraw at any time (section 9), and where the law permits processing without consent, for example to meet a legal obligation. If you are in the European Union or the United Kingdom, we rely on performing our contract with you, your consent, our legitimate interest in keeping the service secure and improving it, and our legal obligations.
3. Recordings of other people
Your recordings may include other people, such as your teacher, classmates or colleagues. You are responsible for recording them lawfully and with their permission where it is needed; see Recording responsibly. We process their voices only to make your transcripts and notes, in the same way as yours. If you believe someone recorded you with NoteSathi without your permission, write to our Grievance Officer (section 13). We will look into it and can remove the recording.
4. AI and speech processing
To make transcripts and notes, your audio, files and transcripts are processed by these services, under contract:
- Microsoft Azure AI Speech turns speech into text (including the MAI-Transcribe model).
- Sarvam AI (Bengaluru, India) turns speech into text for some Indian languages, such as Marathi and Telugu. It processes audio in India.
- Microsoft Azure OpenAI Service reads transcripts to write your notes and study material, converts the script of transcripts so English words appear in English, and reads the text in PDFs and photos you import.
Under these providers' terms, your data is not used to train their models. Microsoft may keep inputs and outputs for up to 30 days to detect abuse, as described in its product terms. Before text is sent to the AI that writes notes, abusive words are masked.
AI makes mistakes. A transcript can mishear a word and notes can miss or misstate something. Every point in your notes links to the moment in the audio it came from, so you can check it. Audio recaps are made with a synthetic voice and always start by saying they are AI-generated.
5. Google user data (Sign in with Google)
Signing in with Google is optional. If you choose it, NoteSathi uses Google Sign-In with the basic
openid, email and profile permissions. It does not request access to your
Google Drive, Gmail, contacts, calendar, YouTube or any other Google service.
- What we receive from Google: your Google account ID, your email address and whether Google has verified it, and your name. Google also makes your profile picture available; we do not store it.
- How we use it: only to create your NoteSathi account, sign you in, recognise you when you sign in on another device, keep the recordings you made as a guest, and reply to support requests you send.
- Sharing: we do not sell Google user data, use it for advertising, or use it to train AI models. It is not sent to the AI services in section 4. It is stored in our database on Microsoft Azure in India and disclosed to others only if the law requires it.
- Storage and deletion: kept until you delete your account, then erased as described in section 8. You can remove NoteSathi's access at any time in your Google Account under Third-party apps and services.
NoteSathi's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
6. Who we share data with
We share data only with service providers that process it for us under contract, and only what each one needs:
| Provider | What for | What it receives |
|---|---|---|
| Microsoft Azure | Hosting, database and file storage in India; speech recognition; AI that writes notes | Everything stored in NoteSathi (encrypted), and the audio and text it processes |
| Sarvam AI | Speech recognition for some Indian languages | Audio of those recordings |
| Sign-in (if you choose it); Google Play payments | Sign-in: your identity check. Play: your purchase, under Google's own policy | |
| RevenueCat | Confirms app-store purchases and tells us your plan | Your NoteSathi account ID and purchase details; no recordings or notes |
| Razorpay | Payments on this website (UPI, cards) | Your payment details, which Razorpay handles itself; we receive only whether the payment succeeded |
| PostHog (EU) | App activity analytics | The events in section 1, linked to your account ID; no content |
| Sentry | Crash and error reports | Technical error details, app and device version, your account ID |
| Google Workspace | Our email | Messages you send us |
We may also disclose data if the law requires it, to protect someone's safety or our rights, or as part of a merger or acquisition, in which case this policy keeps applying to your data.
When you share a note. Nothing is shared unless you choose to. If you tap Share on a note, NoteSathi makes a link, and anyone who has that link can read that note's notes (not the audio or the transcript, and not your name or account) until the link expires or you turn it off in the same place. The page is not listed in search engines. A PDF you save is a file on your phone: who you send it to is up to you.
7. Where your data is stored
Your account, recordings, transcripts and notes are stored in Microsoft Azure data centres in India. Some processing happens briefly outside India: speech recognition and the AI that writes notes may run in other Azure regions (at present, in the European Union), where audio and text are processed and not kept; app activity is stored by PostHog in the European Union, and crash reports by Sentry. We use only providers bound by contract to protect your data, and we do not transfer data to any country the Government of India restricts.
8. How long we keep data
| Data | Kept for |
|---|---|
| Recordings on your phone | Until you delete them, delete your account, or uninstall the app |
| Raw audio and imported files on our servers | Deleted automatically 90 days after your notes are ready, unless you choose to keep the audio (in the app: open the recording, tap ⋯, then Keep audio on server). If your plan has ended, we warn you 14 days before. The copy on your phone is not affected. |
| Audio and transcripts of a guest account (not signed in) | Deleted from our servers about 1 hour after your notes reach your phone |
| Transcripts, notes, study material and settings | Until you delete the recording or your account (for a guest account, transcripts as in the row above) |
| Account and plan | Until you delete your account |
| Recording-consent confirmations | As long as the recording exists, and afterwards only as long as the law requires us to show that consent was given |
| App activity | 12 months, and deleted with your account |
| Crash reports | 90 days |
| Server logs | 30 days |
| Backups | 14 days, after which deleted data is gone from backups too |
| Purchase and invoice records | As long as tax and company law requires (up to 8 years), without your recordings or notes |
| Support emails | Up to 2 years after the conversation ends |
9. Your rights and choices
Under the Digital Personal Data Protection Act, 2023 you have the right to:
- Get a summary of the personal data we hold about you and how we process it, and the providers we share it with.
- Correct or update it. You can edit your notes and settings in the app.
- Erase it: delete a recording in the app, or your whole account (see Delete your account).
- Withdraw consent at any time, as easily as you gave it, by deleting your account. Processing done before you withdraw stays lawful.
- Nominate someone to exercise these rights for you if you die or cannot act yourself.
- Get your grievance resolved by our Grievance Officer (section 13), and if you are not satisfied, complain to the Data Protection Board of India.
For a copy of your notes and transcripts, open Account in the app and tap Download my data: you get a ZIP file (your audio stays on your phone, and so do a guest account's transcripts once they have left our servers). To use any right, use the app or write to contact@turtletechsai.com. We may ask a question to confirm the account is yours. If you live in the European Union, the United Kingdom or a US state with a privacy law, you have similar rights, including to object, to data portability and to complain to your data protection authority; we honour them for everyone.
10. Security
Data travels over encrypted connections (HTTPS) and is encrypted at rest by Azure. Every request is checked against your account, so no one else can read your recordings or notes. Upload links are private to one file and expire within 15 minutes. Access to production systems is limited to the people who run the service, and access to user content is logged (section 2). No system is perfectly secure. If a breach affects your personal data, we will tell you and report it to the Data Protection Board of India and CERT-In as the law requires.
11. Children
NoteSathi is for people aged 18 and over; the app asks you to confirm this. We do not knowingly process personal data of children. If you believe a child is using NoteSathi, write to us and we will delete the account.
12. Cookies and this website
This website does not use cookies, analytics or tracking. Its fonts load from Google Fonts, so Google receives your IP address when you open a page. The NoteSathi app does not use cookies.
